In mid-2025, a survey from HubSpot noted that 76% of companies adopting workflow automation reported operational time savings of at least 10 hours per week. This figure may sound abstract to those who have never used such tools. However, for a small marketing team that spends its days copy-pasting data from spreadsheets to CRM, or for an admin who has to send manual recaps to a WhatsApp group every morning, those 10 hours are very tangible.
In Indonesia, the adoption of workflow automation has started to rise significantly. It is not only in technology startups but also in SMEs, training institutions, and even local government agencies that are beginning to explore system integration. The question now is no longer "whether or not," but rather "which platform to use."
Three Major Names Often Compared
Zapier, Make (formerly Integromat), and n8n. All three have different approaches, although their goals are the same: to connect applications and automate workflows without having to write code from scratch. Zapier is known to be the most beginner-friendly. Its interface is very minimalistic; just select a trigger and an action, and you're good to go. For simple needs like "if an email arrives, save the attachment to Google Drive," Zapier can be set up in minutes.
Make offers a more flexible visual builder. You can create branches, filters, and even data iterations on a single canvas. It is suitable for more complex scenarios. However, its learning curve is slightly steeper compared to Zapier, and the cost per operation can escalate if the volume is high.
Then there is n8n. This open-source platform can be self-hosted on a local server or VPS. What does this mean? There are no limits on the number of executions, and there are no sudden spikes in task costs at the end of the month. For the Indonesian context, where many businesses are still sensitive to SaaS subscription costs in dollars, this is a strong attraction.
On Data Control, Open-Source Has Added Value
One aspect that is rarely discussed when comparing these three platforms is where your workflow data is stored. Zapier and Make process data on their servers. For companies bound by strict regulations, such as those in the financial or healthcare sectors, this can be a compliance issue. Government Regulation No. 71 of 2019 concerning the Implementation of Electronic Systems and Transactions has emphasized the importance of data management within the jurisdiction of Indonesia.
n8n, which can be deployed on-premise, provides full control. Data does not leave the organization's server. For IT teams that are already accustomed to managing VPS or local clouds like IDCloudHost or Biznet Gio, setting up n8n is relatively straightforward.
Not Just Automation: AI Agent Integration
What sets n8n apart from its two competitors recently is its native support for AI Agents. Since version 1.x, n8n has provided a special node to connect LLM (Large Language Model) into workflows. So it's not just "if A happens, do B," but can be more contextual: "read incoming email, understand its content, summarize it, and then send a relevant reply."
Jan Oberhauser, founder of n8n, once stated in the official n8n blog that the vision of this platform is to make automation, no matter how complex, accessible to everyone, without vendor lock-in. This approach resonates with the highly heterogeneous digital ecosystem in Indonesia, where one organization may use a combination of WhatsApp Business, Google Workspace, and legacy systems simultaneously.
So, Which One to Choose?
The answer depends on the context. If you need a quick setup for light automation and SaaS budget is not an issue, Zapier remains a solid choice. If you need a complex visual workflow with extensive integration, Make is worth trying. But if your organization needs full control over data, wants to avoid unpredictable per-execution costs, and is starting to explore AI Agents in workflows, n8n is hard to overlook.
Clearly, the automation trend in Indonesia is no longer just talk. According to a report by McKinsey Global Institute, about 50% of current work activities can technically be automated. The question now is when and how your team will start.
